Engineering File Room/Document Control Remediation

Many operators suffer from document overload and poorly organized and indexed physical and electronic records.  The problems this creates include:

  • Difficulty locating the materials and inspection history documents need for engineering review and RBI analysis
  • Internal audit failures
  • Efficiency loss associated with excessive time spent locating relevant records, compiling data and producing accurate data
  • Document Control software under-utilization due to lack of records metadata

RADIX helps improve this situation by providing an experienced team which understands engineering records to assess the situation and create a plan for the remediation effort.  We can provide onsite labor and equipment to scan records and drawings then use our technology-assisted classification inventory the records, perform a gap analysis against a MEL, isolate critical documents such as U1’s and perform deep indexing on those records.

We provide this service at a speed, scale, and cost which is attractive to other methods which involve expensive manual processes.

DOT/PHMSA/MAOP Audits

RADIX supports DOT/PHMSA/MAOP audits by applying its four pillars of capability to a project.

  1. Integrity Management Subject Expertise and Engineering
  2. Records Processing Technology
  3. Database Expertise
  4. Records Management Expertise

The primary objectives of our effort include creating a data map and building a high quality  database which is then used by the integrity engineers to perform hydrostatic test and design pressure confirmation on all valve sections and components in scope for the project.  The database is created by mashing together legacy databases, metadata from project files, completion reports and alignment sheets, and spreadsheets, replacement projects and GIS systems.  Our workers can be sent to the field to locate, collect and convert physical records to PDF, in coordination with our project team and insure a consistent indexing protocol is applied.

Once the database has been created, our engineers work closely with a records analyst to leverage the database and bring new levels of efficiency and cost control to the project by vertically integrating the process of selecting, tagging, and reporting the records needed including the full engineering review and quality control process.  We can also work with our client’s existing engineering staff and provide only the data mining capability.

Our engineering team can markup alignment sheets for crossings, perform GIS and ILI alignment, and execute the steps necessary to insure each valve section or component has records which meet VTC requirements.  Final reports are issued for each valve section certifying the VTC requirements have been met.

In summary, our capabilities include:

  • Providing a full compliment of workers spanning multiple skill sets
  • Use of leading edge software tools to support records classification and data extraction
  • Database expertise and data hosting for the project
  • Records conversion, including large format

RBI, Fitness for Service and Corrosion Review

RADIX supports these engineering data initiatives by harvesting data from legacy databases and records and creating clean, normalized data which can be fed into RBI and PMS software applications.  Our engagement points are typically data migration initiatives or risk management initiatives by the operators.  Our clients in this effort are commonly the engineering services companies or enterprise software vendors who have been charged with performing the data mining needed to feed the risk analysis and related software applications.  Our value proposition is bring efficiency to the data mining effort in terms of both time and cost, and providing our clients with a flexible on-demand capability that improves their service delivery while minimizing fixed costs commitments.

The scope of effort for RBI, FFS and Corrosion Review engagements includes some or all of the following components:

  • Gleaning the target documents, such as U1’s and inspection histories from poorly defined physical and electronic records repositories using technology assisted classification
  • Performing on-site scanning of physical records in the client file room or facility location
  • Performing automated gap analyses by comparing found documents to the MEL register
  • Separating documents into equipment-type categories for processing and QC efficiency
  • Auto-extraction of target record attributes into a database
  • Mashing legacy databases to vet for data utility and parse for usefulness in the target data schema
  • Application of baseline business and engineering rules and calculations
  • Export to a pre-defined load file template for ingestion into an enterprise software or RBI application

RADIX’ expertise in databases and records management, combined with our engineering knowledge in Asset Integrity Management allow us to efficiently execute the data mining effort for the benefit of our clients.
